Booking International Artists for Private Events: FAQ

Booking an international artist for a private event is one of the most rewarding decisions a host can make – and one of the most detailed. Whether you are curating a destination wedding in St Tropez, an intimate celebration in Monaco or a brand dinner in Dubai, the questions that surface are remarkably consistent. Below we answer the ones our clients ask most often, drawn from years of booking DJs, live bands, soloists and roaming acts across the world.

How far in advance should you book international artists?

Lead times depend on the artist and the season. For a headline DJ or a well-known live band, we recommend beginning the conversation six to nine months before the event, and twelve months or more for peak dates in July and August. Soloists, roaming acts and smaller ensembles can often be secured in four to eight weeks, though the finest names are rarely free at short notice. The earlier we begin, the wider the pool of artists still available – and the more time we have to curate with precision.

How do you confirm availability and exclusivity?

We approach each artist’s management directly and confirm availability in writing, alongside any regional exclusivity that applies. If a performer is already contracted elsewhere within a certain radius or timeframe, we tell you honestly and propose alternatives of equal standing. Discretion governs the entire process: your guest list, your venue and your plans remain confidential from first enquiry to final note.

What travel, visas and logistics are involved?

International bookings carry practical considerations that are best handled well in advance. Travel covers flights, ground transfers and, where relevant, private aviation. Documentation covers passports, visas and work permits, which vary by country and nationality – some destinations require permissions lodged weeks ahead. Accommodation and per diems are arranged to suit the artist and the schedule. We coordinate all of it, and for events in the Gulf we build additional time into the plan for visa processing.

What is an artist rider, and which technical requirements matter?

A rider is the set of conditions attached to a performance. It typically covers technical equipment – sound system, decks, instruments and backline – along with staging, power, soundcheck times and hospitality such as a private dressing room and refreshments. These requirements should reach your venue or production partner early, so nothing is left to chance on the day. Where a venue cannot meet a specification, we source the equipment and personnel to bridge the gap.

How are fees, deposits and contracts handled?

Fees reflect the artist’s standing, the date, the territory and the duration of the performance. A booking is generally secured with a deposit – often fifty per cent – with the balance due before the event. Everything is set out in a written contract that states the fee, the payment schedule, currency, cancellation terms and the scope of what is included. We are transparent about costs from the outset and coordinate directly with management, so you deal with a single, accountable point of contact.

Can you provide a single artist or a complete ensemble?

Both, and often something in between. One exceptional DJ can carry an entire evening; a live band with brass and vocals can lift a late celebration; a roaming string quartet or saxophonist can move among guests during aperitifs. Many of our clients combine several formats across a single event – an ambient soloist at welcome, a band through dinner, a DJ into the small hours – and we design that arc around your venue, your timings and your guests.

Why work with a booking agency rather than approaching artists directly?

Direct approaches can succeed, but they place the complexity of negotiation, contracts, travel and technical planning squarely on the host. An agency that books internationally every week brings established relationships, hard-won knowledge of who is genuinely available, and one point of contact for every detail. We curate the line-up, negotiate the terms and remain present until the final note.

How do we begin?

Send us your date, your destination and the atmosphere you have in mind. Within days you will receive a shortlist of artists suited to the occasion, together with guidance on lead times and travel. From there we refine, negotiate and manage every detail – so that on the night, the only thing left for you to do is enjoy it.
